Importing assets from a spreadsheet

How to bulk import your existing asset inventory from Excel or Google Sheets using a CSV file.

If you're migrating from a spreadsheet, you can import all your assets at once using a CSV file rather than adding them one by one.

Download the template

Go to Dashboard → Assets and click Import. Download the CSV template — it contains all the supported column headers in the correct format.

Fill in your data

Open the template in Excel or Google Sheets and fill in your asset data. The required columns are Name and Category. All other fields are optional.

  • name — asset name (required)
  • category — must match one of the supported categories (e.g. Laptop, Monitor, Phone)
  • asset_tag — your internal reference number
  • serial_number — manufacturer serial
  • status — Available, Deployed, Maintenance, Retired, or Lost/Stolen (defaults to Available)
  • location — must match a location name you've already added in Settings
  • purchase_date — format: YYYY-MM-DD
  • purchase_cost — numeric value only (e.g. 1299.99)
  • warranty_expiry — format: YYYY-MM-DD
  • notes — free text

Upload and review

Save as CSV (UTF-8), then drag and drop the file onto the Import panel or click to browse. IT Trackr will validate each row and show you a preview before importing. Any rows with errors are highlighted so you can fix them before proceeding.

Rows with missing required fields or unrecognised categories will be flagged but won't block the rest of the import.
